Meeting Notes
Date: 1/17/08
Place: Senior Center
Distribution of Vision Statement
Rather than spend money on frames, the Vision Statement will be mailed to the 68 organizations in our communities along with a letter encouraging the groups to consider how their work can or does fit the vision. Polly will draft a letter for us to consider.
Newsletter
Mailing cost of the last newsletter was $270, $90 higher than the last mailing because we have 501c4 status. Larry will research the options for obtaining c3 status.
Printing cost was $140, not including paper. We estimate that the cost of future newsletters will be $450-500.
The deadline for submitting news for the next issue is February 15th. Laura will send an email request for news around February 6th. Possibilities for news were discussed and include:
Continuation of Ann Taylor’s article on the pool
Arts Commission and ACTION news not printed in December
Upcoming Easter and spring events
School news and events, including sports
Service projects
An article on communication – how we communicate, benefits, new ways we can interact (Polly will outline her ideas and send to Barb to write the article)
Feature on the Garden Club (others in the future)
People who are new to the community
“Blast from the Past” photo
Future issues may feature a person of note and an article on extracurricular organizations at the high school.
We began a discussion of the sustainability of the newsletter after June and will continue to research possibilities such as advertising, requesting donations and grants.
Next meeting will be February 14th, 1pm at Barb’s house.

Newsletter Discussion
Content for December
· Recap of Rally and kickoff meeting (Vickie Witt is working on)
· Story about swimming pool fund raising efforts (Ann Taylor is working on one)
· Community holiday events (Laura will call organizations to request news items to be submitted to gmail address)
· Questionnaire from Bridging the Gap team
Cover needs to have something that will give people an incentive to open the letter, possibly a hint of historical photo, recipe or puzzle inside.
Subcommittee to do the newsletter work will be Connie Reid, Laura McConnell, Larry Haylett and Barb Murphey. This group needs to meet in the near future to finalize details of work to be done.
Getting the Vision out to everyone
Framed Vision Statements will be posted at business sites and will include a notation that it is a vision of what our communities will look like in 10-15 years and was created by 211 community members.
Our Action Team will make personal visits to the 68 identified organizations to discuss
1. How the Vision statement can fit with the group’s current work
2. What is the best way to continue communication with the group
3. Ideas for future newsletters
A Budget will be submitted to KJCDA to cover necessary expenses from now until June 30. It will include cost of bulk mailing permit, mailing costs, electric stapler, printing, document frames for Vision statement.
Draft Action Team Work Plan was mailed to all team members on November 8 for comment.
Next full committee meeting will be Monday, December 3 at 5pm in Zion Lutheran Church basement. Hopefully we can all help staple and fold newsletters while we talk
